RESIDENTIAL SNOW REMOVAL SERVICE AGREEMENT & TERMS AND CONDITIONS
1. Service Details & Contract Duration
Our standard residential snow removal service operates from November 1 through March 31 of the applicable winter season.
We will clear your driveway whenever 5 cm or more of snow accumulates within a 48-hour period. There is no limit to the number of qualifying snow events covered during the contract term.
This agreement covers unlimited qualifying snowfall events from November 1 through March 31, up to a total seasonal snowfall accumulation of 300 cm as recorded at Ottawa Macdonald-Cartier International Airport. Should seasonal snowfall exceed 300 cm, the Company reserves the right to apply a reasonable surcharge or offer continued service under revised terms. Customers will be notified before any additional charges are applied and may choose whether to continue service.
Any seasonal snowfall surcharge will not exceed $50 per household per season.
Our team is automatically dispatched for qualifying snowfalls, helping ensure timely service without customers needing to contact us.
Accumulation measurements may be determined using Environment Canada observations, local weather data, on-site observations, and operational assessments made by the Company.
For major storms, prolonged snowfall events, or repeated municipal plowing activity, multiple service visits may be performed at the Company's discretion to help maintain access to your driveway.
During major snowstorms, municipal Significant Weather Events, road closures, equipment breakdowns, traffic disruptions, labour shortages, fuel shortages, or other circumstances beyond the Company's reasonable control, service timelines may be delayed until conditions permit safe and practical operation.
Route order is determined solely by operational efficiency. The Company does not guarantee a specific arrival time, route position, or servicing sequence.
The customer is not required to be present during service visits. By entering into this agreement, the customer authorizes the Company and its representatives to access the property for the purpose of performing contracted services.
Please refer to Section 10 regarding service availability after March 31.
2. Payment Options
To keep payment simple and flexible, customers may choose one of the following options:
Option A – Full Payment
Pay the full seasonal contract amount at registration.
Option B – Two Equal Installments
First installment due at registration.
Second installment due January 1.
There are no additional fees, financing charges, or interest associated with the two-installment payment option.
If payment is not received by the applicable due date, the Company may issue reminder notices and temporarily suspend services until the account is brought current.
A $25 administrative fee may apply to reinstate suspended accounts.
3. Preparing Your Property for Service
For the safety of our operators and protection of your property, please ensure all work areas remain clear and accessible.
Customers are responsible for :
Removing vehicles where possible.
Moving garbage bins, recycling containers, mats, extension cords, hoses, and detachable downspouts away from service areas.
Relocating portable basketball nets and similar obstacles.
Trimming branches to provide at least 9 feet of vertical clearance.
Clearing snow adjacent to garage doors, retaining walls, fences, steps, and other structures unless covered under a separate shovelling service.
Hidden or protruding objects including, but not limited to:
Water shut-off valves
Interlock steps
Retaining walls
Decorative stones
Landscape borders
Wheelchair ramps
Irrigation components
Garden beds
must be clearly identified using visible markers.
Customers are responsible for informing the Company of any fixed structures or hazards located near the driveway edge.
While route markers may be installed by the Company, the Company cannot accept responsibility for damage to hidden, buried, unmarked, or undisclosed objects .
Customers acknowledge that snow may be stored on lawns, boulevard areas, driveway edges, or other suitable locations on the property as reasonably required to perform snow removal services.
Adequate snow storage space must remain available throughout the season.
4. Property Damage
We take pride in treating every customer's property with care and respect. Our operators make every reasonable effort to avoid damage while providing snow removal services.
However, winter conditions, limited visibility, hidden obstacles, and the nature of snow removal equipment create risks that cannot always be eliminated.
If you believe damage has occurred, please notify us promptly.
Property damage claims should be reported within seven (7) days of discovery and no later than April 15 of the active winter season. Claims submitted after this deadline may be rejected if the cause cannot be reasonably verified.
Repairs will be completed within a reasonable timeframe; however, exact matching of colours, materials, textures, or aging conditions cannot be guaranteed.
Customers may be asked to provide manufacturer or installer information if available.
5. City Plow Debris
We will make reasonable efforts to remove snow deposited across driveway entrances by City road plows.
Sidewalk plow debris is not included as a standard service.
Where municipal sidewalk-clearing operations create additional accumulations, removal may be provided at the Company's discretion based on weather conditions, route schedules, and equipment availability.
6. Service Limitations, Liability & Safety
We are committed to providing reliable service while minimizing inconvenience and property damage wherever possible.
Our operators exercise care and caution while servicing every property. However, snow removal operations involve heavy machinery, reduced visibility, hidden obstacles, winter weather conditions, and snow storage requirements that are not always within our control.
For these reasons, the Company cannot be responsible for:
Surface scratches, scuffs, rust marks, or normal wear associated with snow removal operations.
Damage to objects that are hidden, buried beneath snow, unmarked, improperly marked, or not disclosed to us.
Decorative stones, gravel, mulch, or landscaping materials displaced during snow clearing.
Damage resulting from deteriorated, uneven, heaved, cracked, or poorly maintained driveway surfaces.
Damage to plants, shrubs, hedges, gardens, or lawn areas located within normal snow blowing or snow storage zones.
If a customer believes damage has occurred, we encourage them to contact us promptly. Legitimate concerns will always be investigated fairly and professionally.
Additional service limitations include:
Snow removal does not guarantee bare pavement or ice-free conditions.
Customers remain responsible for monitoring and treating icy conditions.
Removal of ice buildup, freezing rain accumulation, drifting snow, roof-slide snow deposits, or snow resulting from customer roof-clearing activities is not included unless specifically purchased.
Service may be temporarily postponed if children, pedestrians, pets, vehicles, or other safety hazards are present in the operating area.
No person should approach operating machinery while service is underway.
If a vehicle remains parked in the driveway during service, only accessible areas will be cleared. Return visits for moved vehicles are not guaranteed and may be subject to an additional charge.
The Company reserves the right to postpone, modify, or refuse service where conditions are considered unsafe for customers, staff, equipment, or surrounding property.
7. Optional Hand-Shovelling Service
Customers may add seasonal hand-shovelling service for an additional fee.
Where purchased, service may include:
Front walkway
Steps
Porch access
Areas directly in front of garage doors inaccessible to machinery
Walkway service may be completed separately from driveway clearing and may occur several hours after snowfall has ended depending on route schedules and weather conditions.
This service does not include:
Ice removal
Roof snow removal
Drifting snow
Snow accumulation occurring after service completion
8. Service Cancellation
Customers may cancel service before winter operations begin.
A minimum cancellation fee of $100 will apply to cover:
Administrative setup
Route planning
Customer onboarding
Seasonal preparation
Marker installation
Once winter operations have begun, seasonal contracts become non-refundable except where required by law or where a material service failure by the Company can be demonstrated.
If the property is sold during the season, the agreement may be transferred to the new homeowner upon approval by the Company. Refunds will not be issued solely due to the sale, rental, or change of occupancy of the property.
9. Snow Markers
Snow markers may be installed to assist operators in identifying driveway boundaries.
Markers remain the property of Stittsville Snow Removals.
Lost, discarded, or intentionally removed markers may result in a replacement fee of $20 per marker.
10. After-Season Support
Following March 31, customers may continue to request snow clearing service.
If a snowfall event of 5 cm or more occurs after the regular season, customers may contact us by phone, text, or email to request service.
The Company will announce any applicable post-season service fees through customer communications.
The charge for post-season residential service will not exceed $25 per event unless otherwise agreed in advance.
Participation in post-season service remains optional.
11. Emergency Assistance Service
We understand unexpected situations arise during winter.
Customers with active contracts may request emergency assistance where immediate driveway access is required.
Where staff and equipment are available, we will make reasonable efforts to dispatch assistance as quickly as possible.
Emergency requests are handled on a best-effort basis and are not guaranteed. Response times vary depending on weather conditions, route commitments, safety considerations, and equipment availability.
12. Discounts & Referral Program
The Company may offer:
Early Bird Discounts
Senior Discounts
Referral Incentives
Promotional Offers
Referral discounts and eligibility requirements will be communicated separately.
Shared Driveway: A driveway physically shared by two neighbouring properties. Shared driveway pricing is available when both neighbouring households are enrolled in snow removal service with Stittsville Snow Removals.
Unless otherwise specified, the total combined discount applied to a contract may not exceed 20% of the regular seasonal contract price.
13. Electronic Communications
By providing an email address and/or mobile phone number, customers consent to receiving communications electronically.
This may include:
Quotes
Invoices
Receipts
Payment reminders
Service notices
Snow alerts
Renewal offers
Referral program notifications
General customer communications
Customers are responsible for ensuring that their contact information remains accurate and current throughout the contract term.
Existing customers may receive renewal invitations, loyalty offers, and seasonal contract reminders for future service periods.
14. Customer Acknowledgment
By purchasing services from Stittsville Snow Removals, the customer acknowledges that they have read, understood, and agreed to these Terms and Conditions.
